TERMS AND CONDITIONS

1. Cancellation and Refunds:

   1.1. Clients may request a refund by providing written notice of cancellation at least 7 days prior to the start date of the program.

   1.2. A full refund will be issued for cancellations made within the specified time frame.

   1.3. Refunds will be processed using the original method of payment.

 

2. Pro-Rated Refunds:

   2.1. If a client withdraws from a program after it has commenced but before the halfway point, a pro-rated refund will be offered based on the number of remaining sessions.

   2.2. The pro-rated refund calculation will begin from the date of official withdrawal notification.

 

3. Non-Refundable Circumstances:

   3.1. No refunds will be provided for sessions missed due to personal reasons, late arrivals, or early departures.

 

4. Exceptional Cases:

   4.1. In exceptional circumstances, such as serious illness or unforeseen life events, refund requests may be considered on a case-by-case basis.

   4.2. Documentation may be required for verification purposes.

 

5. Program Cancellations:

   5.1. In the event that coaching with chloe cancels a program due to insufficient enrollment or other unforeseen circumstances, clients will receive a full refund.

 

6. Communication and Refund Requests:

   6.1. Clients are encouraged to promptly communicate any concerns or refund requests to our customer service team.

   6.2. Refund requests must be submitted in writing and include relevant information such as the client's name, program details, and reason for the refund.

 

7. Registration: 

   7.1. To enroll in our tennis coaching program, all participants must complete the registration process by providing accurate personal information, including contact details, emergency contact information, and any relevant medical conditions or allergies.

 

8. Safety and Supervision: 

   8.1. We prioritize the safety and well-being of all participants. Our experienced coaches maintain a safe and secure environment during coaching sessions, implementing appropriate safety measures and supervision. However, participants are responsible for their own actions and must follow all safety guidelines and instructions provided by our coaches.

 

9. Payment and Fees: 

   9.1. Payment for coaching services is due in full at the time of registration or as otherwise specified. We accept various forms of payment, including cash and online transfers. 

   9.2. Any additional fees, such as equipment rentals or tournament entry fees, will be clearly communicated to participants in advance.

 

10. Cancellations, Rescheduling, and Refunds: 

   10.1. If a participant wishes to cancel their coaching sessions, they must notify us 24 hours in advance. 

   10.2. Refunds will be provided according to our refund policy’s, which may vary depending on the circumstances.

   10.3 In the event of unforeseen circumstances or inclement weather, we reserve the right to reschedule or cancel coaching sessions. Participants will be notified of any changes as soon as possible.

 

11. Code of Conduct: 

   11.1. We expect all participants to adhere to a code of conduct that promotes respect, sportsmanship, and fair play. This includes treating coaches, staff, and fellow participants with courtesy and respect, following instructions, and refraining from any behavior that may be deemed inappropriate, disrespectful, or harmful to others. 

   11.2. Any violation of the code of conduct may result in disciplinary action, including suspension or termination from the coaching program.

 

12. Liability: 

   12.1. While we take every precaution to ensure the safety of our participants, we cannot be held liable for any injuries, accidents, or damages that may occur during coaching sessions or related activities. Participants are responsible for their own well-being. 

   12.2. By participating in our coaching program, participants and their legal guardians acknowledge and accept any inherent risks associated with the sport of tennis.

 

13. Changes and Modifications: 

   13.1. We reserve the right to make changes to the coaching schedule, program structure, or terms and conditions as necessary. 

   13.2. Participants will be notified of any significant changes in advance. 

   13.3. We will make reasonable efforts to accommodate participants' scheduling needs and preferences, but we cannot guarantee specific coaching times or availability.

 

14. Photography and Videography:

   14.1. During coaching sessions, we may capture photographs or videos for promotional purposes. By participating in our program, you grant us the right to use these images or videos on our website, social media platforms, or other marketing materials. If you have any concerns, please let us know in advance.

 

15. Communication: 

   15.1. We may communicate with you via email, phone calls, or text messages to provide important updates, schedule changes, or other relevant information. By providing your contact details, you consent to receive such communications from us. You can opt out at any time by notifying us in writing.

 

16. Personal Belongings: 

   16.1. We are not responsible for any loss, theft, or damage to personal belongings brought to the coaching sessions. Please ensure that you keep your belongings secure and do not leave them unattended.

 

17. Parental Consent: 

   17.1. For participants under the age of 18, a parent or legal guardian must provide consent for their participation in the coaching program. 

   17.2. By registering, you confirm that you have the authority to provide such consent.

 

18. Code of Conduct: 

   18.1. We expect all participants to maintain a respectful and sportsmanlike attitude during coaching sessions. Any form of harassment, discrimination, or unsportsmanlike behavior will not be tolerated and may result in immediate dismissal from the program.

 

19. Late Arrival: 

   19.1. Participants should strive to be punctual. A grace period of 5 minutes is permitted. Please inform us if you expect to be late so we can adjust accordingly. Consistent late arrivals may affect your participation.

 

20. Late Pick-Up: 

   20.1. We kindly request that parents pick up their child promptly at the designated end time of their lesson. In the event that a child is not picked up within 15 minutes after the lesson ends, a late fee of $1 per minute will be charged. If a child is not picked up within one hour and there has been no response from attempts to contact the parents/guardians and next of kin, we will involve the local authorities to ensure the child's safety.
